    Nov. 13, 2009 - PowerPoint Tips:Print PowerPoint Notes

You can print presentation notes pages for your own use when delivering a presentation, or to include as handouts for your audience. You can design and format notes pages with colors, shapes, charts, and layout options.

From PowerPoint, you can print notes in Speaker Notes format, that is, each printed notes page includes a copy of the slide it refers to with the associated notes printed under the slide.

Print notes along with slide thumbnails

    1. Open the presentation that has the notes pages you want to print.
    2. On the File menu, click Print Preview.
    3. On the Print Preview toolbar, in the Print What box, click Notes Pages.
    4. To specify the page orientation, on the Print Preview toolbar, click Portrait or Landscape .
    5. To set headers and footers, on the Print Preview toolbar, click Options, and then click Header and Footer.
    6. On the Print Preview toolbar, click Print.

    Print notes only

    • By default, PowerPoint is set to print presentation slides in color. However, on a per-document basis, you can change the default print settings to print notes. To change the printer settings to print notes by default, change do the following:
      1. On the Tools menu, click Options.
      2. Click the Print tab.
      3. Under Default print settings for this document, click Use the following print settings.
      4. In the Print what box, click the down arrow and click Notes Pages.
      5. Set the properties for the notes pages.

    NOTES

    • Headers and footers on the notes pages are separate from the headers and footers on the slides. Note that choices you make for headers and footers on your notes pages also apply to your handouts. If you need your notes and handouts to have differently formatted headers and footers, you can print the handouts first, then adjust the settings and print the notes.
    • Hidden slides with notes in your presentation print along with the others, so it's a good idea to sort them out of your printed stack before you deliver your presentation, so you don't get out of sync with your audience.

More information For links to information about printing slides, handouts, an outline, reviewer's comments or ink annotations, go to the See Also box, which is visible when you are connected to the Internet.

Nov. 6, 2009 - Why Are PowerPoint Templates Popular?

How will using templates help you in your corporate presentations?

REASON # 1: WIDE ACCEPTANCE AND POPULARITY

PowerPoint Presentations have permeated the business world so much that we equate any presentation to a PowerPoint Presentation. It has become an essential skill. Not knowing how to work with PowerPoint cripples you. In fact, it is like being considered the illiterate in the corporate circle. Its popularity has also ensured that resources are readily available - be it in terms of templates or professional offering services for it.

REASON #2: ENGAGING TWO SENSES OF THE AUDIENCE - VISUAL AND REASONING

Most templates provide preconfigured slides for charts, diagrams, and display of other raw data or even video and audio content. Plain text may not hold so much of an appeal for your audience. At the same time, using excess of animation and graphics can take the focus away from your actual content. This is a common pitfall of many presenters - that in their bid to showcase their skills, they overdo it. Engage the audience but don't let the focus slip.

Visual and animated representations provide more clarity to the concept you're discussing. For example: If you have a schematic diagram of some process, there will lots of arrows pointing everywhere. Unless you incorporate texts to describe the flow, it can become confusing for the audience. So, why not use animation to clearly depict the follow. You can use a combination of motion path animation and custom shows to do this.

Again, when you deal with report, there are many complex data analysis that may not fit in its entirety on a slide. Their representation can be shown by linking it through MS Excel, MS Word, etc.

REASON #3: USE OF GRAPHICS, CHART, AND ANIMATION SIMPLIFIED

Simplify your work. With preconfigured templates, adding graphics and charts becomes much simpler. Just point, click and edit the data. Chart representation format and style using the "Design" tab.

    For example:

Let's suppose you have conducted a survey on how comfortable professionals are using PowerPoint Presentations. Out of the total respondents, 10% didn't know how to work with PowerPoint Presentations, 35% were still learning to use it, 25% could work with it and 20% were proficient while the remaining 10% were experts working with PowerPoint Presentations.

You could display this information as bullets points too. But using graphical representation as shown in the figure creates better impact and lends more clarity to your data. Moreover, it's preconfigured into the template making it just a matter of entering the data.

REASON #4: ABILITY TO SHOWCASE INFORMATION IN A CONCISE MANNER

The attention span of a person is very short. You can hold someone attention without lapse for a maximum of 15 - 20 minutes. You've got to capture the attention of your audience and then keep them on track and focussed. Now, a whole lot of text or description isn't going to hold their interest.

People like to know, "What's the point you're getting at?"

Presentation of information needs to be succinct and cater to their interest. So, how does using templates help you? The templates, especially those available at our online store, have been designed to address this need. Text block and image placers have been placed with a view to optimizing space usage and avoid information cramming.

REASON #5: OPPORTUNITY TO SHOWCASE YOUR EXPERTISE AND COMPETENCE

"Great Presentation!" A "Pat on the back" or clinching a "good business deal". That's what carefully planned presentations can do for you.

Some people believe PowerPoint Presentations are overrated. But the fact is, in today's business world you just can't do without them. With hordes of bad presentations that leave the audience confused and jumping from slide to slide for information, you can be different. Remember also to back up your presentation with hard facts and knowledge of what you're presenting to your audience.

Good presentations speak of your professional caliber and skills. Make your mark; make your presentation stand out. Once your PowerPoint skills are proven and delivered, you will be in high demand among your colleagues and business circle.

Work smart; use PowerPoint templates for your corporate presentations.

Sep. 29, 2009 - 3 Factors for an Effective Presentation

An effective presentation must get three components right:

    • Content

    • Design

    • Delivery

Each of these components has to be on the mark and they all have to work together, as well.

When writing your content, decide on two or three main points and make sure that everything else that you write leads to those points. Make your content logical, simple, and clear. Figure out what your audience needs and wants to know and tailor your content for the audience.

Regarding design, your number one concern is legibility. Don¡¯t put too much text on a slide and keep it large enough to read easily. The text color should contrast highly with the background color. Then, make sure that your design complements your content. Your background and images shouldn¡¯t detract from the content. Images should work to clarify text. The layout and size of text should bring important points to the fore.

Don¡¯t forget a winning delivery. Engaging your audience with eye contact and your overall energy is important. Know your main points and emphasize them with your voice and the amount of time you spend on them. Two¡¯s a party; three¡¯s a crowd, they say. If you just read your slides, you¡¯re putting PowerPoint between you and the audience and they¡¯ll resent it. Instead, use the slides only as support for your presentation.

In many cases, a presentation is a collaborative effort and different people write the content, design the presentation, and deliver it. In this case, all parties involved need to communicate with each other. For example, the writer needs to tell the designer and the deliverer which points are most important, so they can emphasize those points properly. Using these guidelines, you¡¯ll be well on the way to an effective presentation.

You must take a lot of memorable photographs during holidays and store them on computer. It¡¯s a wise idea for you to organize them in a good way. Make them a DVD photo album is a nice solution. It is quite an easy job as long as you have Microsoft PowerPoint installed on your computer.

PowerPoint versions 2000 to 2007 have the feature to save your photos as an album. Make separate digital photo albums for different sets of pictures. There is no limit to the number of albums, or the number of photos in each album. So you can add all the pictures of the same set into one album. This is a great way to organize your photo life.

Now let¡¯s start to create an awesome album using PowerPoint 2007.

    Add pictures into the album
On the Insert menu, point to Picture, and then click Photo Album.
    create dvd album
Click on the ¡®File/Disk¡¡¯ option and locate the pictures on the computer. You can add multiple pictures at one time. It is strongly recommended that you optimize the pictures in Photoshop/gimp before inserting them into the album. You can also reorder the sequence of the pictures using the up and down arrow keys below the listing of the pictures, rotate the pictures, and adjust the brightness and saturation. A layout preview is shown on the right side of the dialog box.
    2. And, you are provided with an option to use customized template. Click the Browse button. Locate the template in the ¡®Choose Design Template box¡¯ that allows you to navigate to the folder where we have stored the downloaded templates. Choose any of the three templates.
    3. Finally, click on ¡®Create¡¯ button, done. Isn¡¯t this easy?

    create dvd album

Burn the PowerPoint album to DVD

    1. Capture the screen to make a regular video file using Camstudio (http://camstudio.org), it is totally free. It will save your video in AVI format. You just need to burn the video to DVD using Nero/Roxio.
    2. You can use PowerPoint to DVD Burner from Moyea Software. It can save PPT files onto DVD and enable you watch it on TV. This mothod is much more convenient.

There are also some good tips for you all:

    • Choose different layouts for different pictures. Big landscape pictures deserve a whole slide, while other pictures may share a single slide.

Sep. 15, 2009 - Play Your PowerPoint Slideshow on Youtube

When you made a admirable PowerPoint presentation, and would like to upload it to YouTube to share with others. YouTube accepts video files from most digital cameras, camcorders, and cell phones in the WMV, AVI, MOV, and MPEG file formats. But PowerPoint presentations are not video formats and Microsoft itself also doesn't support the conversion. How to resolve this problem? Here I'll show you two ways to upload PowerPoint to YouTube.

    1. Use Windows movie maker that included in your Windows machine (see how to import PowerPoint to Windows movie maker). It can help you make beautiful slideshow or video clip (e.g. mixing your songs with pictures/video/lyrics/etc), then save it as video file such as wmv.

Or just get those clips you want, save & convert them, and then mix/match with pix/sound/etc using Windows movie maker to create new masterpieces.

When the output video comes out, you can upload it to YouTube.

    2. Use third party software to convert PowerPoint to YouTube support video. Moyea PPT4Web Converter is the right tool to help you easily convert your PowerPoint presentations to stunning videos. With it, you won't lose any voice, movies, animations and transitions in the original PowerPoint. The video converted should retain all the subtitles in the PowerPoint.

With only 3 clicks, you can convert PowerPoint presentations to video formats such as MPEG, AVI, MP4, WMV, MOV and 3GP with excellent quality.

Step of how to do it:
    1. Install Moyea PPT4Web Converter.
